Application instructions for Bachelor, Master, Postgraduate programmes and Credit Contracts
Our admissions process works on a rolling basis. However, we advise you to apply in time to start in the following academic year.
Note that some specific programmes have a strict deadline. Therefore, it is advisable to check the specific deadline of your programme of interest by using our online tool.
Programmes such as Erasmus+, VLIR-ICP Scholarships, Erasmus Mundus etc. have specific deadlines and application procedures, please consult the specific programme website for more information.
Important notes
- Make sure to read the detailed admission requirements of the specific study programmes available at the various KU Leuven campuses.
- Applicants seeking admission to a bachelor's programme can verify whether their secondary qualification meets the minimum eligibility criteria here.
- For technical problems and/or questions about the application procedure, please contact Admissions. See also our FAQ page.
- We advise you to use your desktop, laptop or tablet computer and not your smartphone when completing your application.
- Certain interuniversity programmes (UnaEuropa, Erasmus Mundus) require all applicants to submit an application file via Admissions. Do check their specific requirements and instructions.
Degree obtained within Flemish Community or Dutch VWO degree
- If you wish to register for a bachelor's programme and you obtained a secondary school diploma issued within the Flemish Community or you hold a VWO degree, you are not required to submit an online application. You can start your registration here.
- If you wish to register for a master's programme and you obtained a bachelor's diploma issued within the Flemish Community, you are not required to submit an online application. You can start your registration here.
- N.B. Certain interuniversity programmes (UnaEuropa, Erasmus Mundus) require all applicants to submit an application file via Admissions. Do check their specific requirements and instructions.
- N.B. applicants who hold a degree obtained at one of the institutions on this list, must submit an application file via Admissions.

1. Submit your online application
Login online
To start your application at KU Leuven, login to the web app via your browser and complete your personal data (personal data, addresses, curriculum and languages). Fields marked with * are obligatory. After saving your data, return to the main page ('

- Add an application by clicking the '+' button in the Applications section on the main page of the web app
- Choose the type of programme
- Select the academic year
- Choose your specific programme by using the search tool
- Complete any additional information that is requested
- Save the data
You have to complete your application(s) by clicking on the 'Edit' button

, which you will find on the right side of your screen in the “Applications” section.

After saving your application, you must upload all required documents as attachments in the 'Documents' section.
The requested documents depend on the status and programme you applied for.
Upload a file for each document type by selecting the ‘arrow’ button on the right. Please note that you can only upload PDF or JPG files.

Pay application fee
For each submitted application an application processing fee of EUR 90
(excluding any possible bank transfer fees) is required. This amount is non-refundable.
The application fee can be paid via
1. Online credit card payment within the web app ('Application fee' tab)
If you pay the fee via credit card, it is not necessary to upload a proof of payment; the system will automatically register that you have paid.
If you pay by bank transfer, upload a detailed proof of payment, stating the account holder’s name and account details, in your application file (Attachment type: Proof of payment of the application fee).
Applicants with a refugee status in Belgium do not have to pay the application fee. Please upload proof of your refugee status as document type "proof of payment of the application fee" to your online file.
Submit application
Submit your online application.
- The submit button will only be activated after accepting the disclaimer.
- If one or more of the core documents are missing you will receive an error message. Please upload the requested documents before resubmitting your application.
- If your application meets the minimum requirements for completeness, a snapshot of your personal data will be sent to our admissions-database. If you wish to update your personal data after submitting your application, please contact Admissions. These changes will not be forwarded automatically.
2. Follow-up of your file
Online follow-up
After you have successfully submitted your online application, you can track the status of your application in the web app.
The approval process consists of several steps and takes some time, roughly four to eight weeks. During this period the following statuses may appear in the overview of the application(s) you submitted:
- Created (click “submit” after completing your application)
- Submitted / resubmitted (application will be checked for completeness)
- Evaluation in process
- Incomplete (click “submit” after completing your application)
- If any documents are missing from your application file, Admissions will contact you by email.
Kindly refrain from contacting Admissions about the progress of your application. If anything is lacking in your file, we will certainly contact you. If you do not hear from us in the meantime, that means your file is in order.
Follow-up by e-mail
As soon as a decision has been taken concerning your application, you will be informed via email.
- If you are accepted without conditions or on the condition of graduating only, you will immediately receive your admission letter via email and the status of your application will change into ‘Admission letter uploaded’.
- In case of a conditional admission, you will receive an email outlining the conditions of your admission. The status of your application will change into ‘Conditionally admitted’. Please follow the instructions on how to proceed with your conditional admission.
- In case of a rejection, you will be informed via email. The status of your application will then change into ‘Rejected’.
Receiving an admission letter does not imply any kind of obligation (regarding payment, enrollment …), it just allows the administrative process to continue.
3. Received your admission letter. What now?
- Please do note that holding an admission letter, does not automatically imply that you are also registered!
- The registration process encompasses a mandatory verification of your prior degree(s). More information on this procedure can be found here .

- Once you receive the admission letter with the accompanying instructions, you might want to read more into what further steps (applying for a visa, looking for housing, health insurance, etc.) you should undertake in order to prepare your arrival at KU Leuven.
